Stock Reservation Software for Indian Businesses: Hold Stock for the Customer You Promised

For wholesalers, project suppliers and manufacturers: set stock aside for a customer or job, stop it being sold twice, and see what is truly free.

A wholesaler tagging a cable drum while a contractor watches

Stock reservation software stops a familiar mistake. Sales promises a contractor 2,000 metres of cable for a site, another salesperson sells 800 of those metres at the counter the next day, and the contractor's delivery comes up short.

The stock was there when the promise was made. Nothing recorded that it was spoken for.

This page covers what unreserved promises cost, an illustrative example, and how Apragya holds stock against an order or project until it is used.

Promises on paper, and reservations on record

With Apragya

  • Quantity reserved against the order or project
  • Reserved stock excluded from available
  • Each delivery draws down the reservation
  • On hand, reserved and available shown together

An example: a Vijayawada electrical wholesaler

Take an illustrative cable and switchgear wholesaler supplying a contractor who is wiring an apartment block in three phases. The contractor wants 2,000 metres of one cable held for the job.

One reservation, drawn down over a month

  1. Draft

2,000 metres entered against the project.
  2. Reserved

The quantity now counts against available stock.
  3. First phase

700 metres delivered and drawn down.
  4. Pending consumption

    1,300 metres still held.
  5. Consumed

    Last delivery completes the reservation.
From the moment it is reserved, the counter cannot sell those metres.

When a walk-in electrician asked for 900 metres a week later, the counter saw only the free stock and offered 400 with the rest in ten days. The contractor's three phases were each delivered in full.

A sealed cable drum partly unwound beside two free drums
The sealed drum is the contractor's; the counter sold only from the free ones.

How available to promise inventory works

Step 1 of 5

Create a reservation

For an item and warehouse, and optionally a batch, serial or project.

  1. Create a reservation: For an item and warehouse, and optionally a batch, serial or project.
  2. Reserve: Once reserved, the quantity counts against available stock.
  3. Draw down: Each delivery consumes part of the reservation until it is used up.
  4. Available figure: On hand less remaining reservations, for any item and warehouse.
  5. Reserved stock report: Remaining reserved quantity across the business.

How to reserve stock for customer orders properly

A note on an order says stock is promised. A reservation makes every other sale see it. That difference decides whether the next salesperson sells the same metres again.

What stops someone drawing more than was reserved?

Can a reservation be cancelled?
Yes, with a reason, and the quantity becomes free again.
Does a draft reservation hold stock?
No. Stock is held only once the reservation is moved to reserved.
