Tally Alternative for Indian SMEs: Keep the Accounting, Add Everything Around It

For owners and accountants whose books live in desktop accounting while orders, stock, approvals and people live in spreadsheets and WhatsApp: one system for all of it, with your masters and balances brought across.

A man carrying a tied bundle from a cluttered old desk toward a clear new table

Most businesses do not leave their accounting package because the accounting was wrong. They look for a Tally alternative because everything around the books has grown: more users, more locations, more stock, more approvals, and a pile of spreadsheets that nobody trusts on the last day of the month.

Apragya keeps what an Indian accountant needs, double-entry books with GST built in, and puts the rest of the business on the same record: sales, purchase, inventory, CRM, HR and payroll, with AI agents that work on those records and people who approve what matters.

What the usual setup costs you

Retyping

Orders, bills and receipts are entered twice, once in a sheet and once in the books.

Access

The data sits on one machine, so the owner cannot see today's position from the road.

Approvals

Payments are approved on WhatsApp and remembered differently by each person.

Stock doubt

Batches and expiry live in a register the books never see.

An example: a 25-person pharma distributor in Indore

Take an illustrative distributor with three accounting licences, a stock register for batches and expiry, and order sheets shared on WhatsApp. Month end takes four days, most of them spent agreeing the stock figure with the books.

The first thirty days after switching

  1. Masters moved

Ledgers, parties and items, with GSTIN and HSN.
  2. Balances opened

Taken at the 1 April period start.
  3. Open bills carried

Unpaid invoices and bills, one by one.
  4. Batches loaded

Stock by batch and expiry, counted once.
  5. First return filed

GSTR-1 built from the new invoices.
The switch is real on the day the first return goes out of the new system.

By the second month, orders, picks and invoices came from one record, the stock figure no longer needed agreeing, and month end took a day. The accountant kept the ledgers, groups and reports she knew, because they came across in the same shape.

A loose pile of coloured sheets on one side and five squared, sealed stacks on the other
The masters, the balances and the open documents, moved as five stacks rather than one heap.

Why teams look for a Tally alternative with inventory, CRM and HR in one place

An accounting package does its job. The pain is the ring of tools around it. Apragya is built as one platform, so the invoice, the stock movement, the customer and the approval are the same record rather than four files that have to agree.

How the move works in Apragya

Step 1 of 5

Assisted migration

Masters, opening balances and open documents come across, so nobody retypes them.

  1. Assisted migration: Masters, opening balances and open documents come across, so nobody retypes them.
  2. A clean start date: You go live at a period start, never in the middle of a GST month.
  3. A short parallel run: One period is reconciled in both systems before the old one is retired.
  4. Everyone on one record: Sales, stores and accounts work on the same documents from day one.
  5. Agents switched on: Reading supplier bills, checking reorder levels and flagging expiry risk.

What makes Apragya an ERP better than Tally for a growing SME

One platform

Fifteen enterprise apps share the same customers, items and people.

GST built in

E-invoicing, e-way bills, GSTR-1 and 2B reconciliation, TDS and TCS.

AI that does work

Agents read bills, match orders and flag stock risk on the record.

People stay in charge

Anything with money in it waits for approve, reject, modify or escalate.

A trail you can show

Every change is recorded, so an auditor can follow a figure back.

Anywhere

The same books in the browser and on Android and iOS.

The accounting side is covered in detail on general ledger, GSTR-1 and opening invoices.

Planning the switch

  1. Pick the quarter or year start you will go live on.
  2. Export masters, the trial balance and open documents from the old system.
  3. Bring them across with the assisted migration and agree the totals.
  4. Count stock by batch on the switchover day.
  5. File the first return from Apragya, then retire the old licences.

Keep the old system readable, not in use, until that first return has gone out.

Switching from Tally, answered

Will our accountant have to learn a new way of working?
Much less than you might expect. Groups and ledgers come across in the shape you use, and the reports read the same way. What changes is that stock, sales and approvals feed the books directly.
Does Apragya handle inventory properly?
Yes: multiple warehouses and bins, batches with expiry and FEFO, serial numbers, barcode scanning and valuation by moving average, FIFO or standard cost, all on the same ledger.
Can we move in the middle of the year?
Pick a quarter start at least. Moving mid-month splits a GST period across two systems, which makes the first return harder than it needs to be.
What if we want to keep our data on our own servers?
Apragya runs in the cloud or self-hosted on Docker, and a Tenant Runner reaches systems inside your network over one outbound connection.
What does it cost to start?
The free plan covers up to 3 users with CRM, HR and One Additional App of Your Choice and 1,000 AI Credits.
