What Is E-Invoice IRN? Meaning, How It Is Generated and an Example
For accountants, billing teams and business owners under GST e-invoicing: understand the IRN, get it on every invoice that needs one, and handle errors calmly.
What is e-invoice IRN? The IRN, or Invoice Reference Number, is a unique 64 character reference that the GST Invoice Registration Portal (IRP) gives to a B2B invoice when it is reported. An invoice that must be e-invoiced is not valid under GST without it.
The IRN comes back with a digitally signed QR code and an acknowledgement number and date. The details then flow to the GST system, which pre-fills parts of GSTR-1 and can create the e-way bill.
This page explains who needs an IRN, how it is generated, a worked example, and how Apragya produces it from the sales invoice.
E-invoice IRN meaning, rules and a worked example
The IRN is a hash generated from four details: the supplier's GSTIN, the document type, the document number and the financial year. Because it is built from these details, the same invoice number from the same GSTIN in the same year cannot be registered twice.
E-invoicing is mandatory for businesses whose aggregate turnover in any year since 2017-18 exceeds the notified threshold, currently INR 5 crore. It covers B2B invoices, credit and debit notes, and exports. Check the latest notification for exemptions and time limits.
A worked example: invoice TL/0425 is raised for INR 1,18,000, which is INR 1,00,000 plus 18% IGST. The invoice JSON is sent to the IRP, which validates it, returns a 64 character IRN, an acknowledgement number and date, and a signed QR code. An IRN can be cancelled within 24 hours, but not edited.
- Raise the invoice with GSTIN, HSN and place of supply.
- Send it to the IRP in the government schema.
- Receive the IRN, acknowledgement and signed QR code.
- Print the QR code on the invoice.
- Share the invoice and move goods with an e-way bill.
What goes wrong without a smooth IRN process
Invalid invoices
An invoice without an IRN, when one is required, is not a valid tax invoice.
Customer credit at risk
Your buyer may not be able to claim input tax credit on it.
Held dispatches
Goods wait at the gate while someone generates the IRN on the portal.
Retyping
Invoice details keyed twice, once in the books and once on the portal.
An example: a Ludhiana hand tools manufacturer
Take an illustrative manufacturer billing a Chennai hardware wholesaler for spanners and pliers. The business's turnover is above the e-invoicing threshold, so every B2B invoice needs an IRN.
What came back on the invoice
Checked before the invoice was sent.
Inter-state, so IGST applies.
Every line carried its HSN code.
Unique reference issued by the IRP.
Acknowledgement number and date stored.
Printed on the invoice copy sent to the buyer.
The invoice PDF carried the QR code, the truck left with an e-way bill, and the wholesaler's GSTR-2B later showed the invoice. When a line quantity was wrong on another invoice, the team cancelled the IRN within the allowed window and issued a fresh invoice.
How e-invoice IRN generation works in Apragya
Step 1 of 5
Checks first
GSTIN, place of supply and HSN are checked on the invoice.
- Checks first: GSTIN, place of supply and HSN are checked on the invoice.
- Sent to the IRP: The NIC e-invoice connector sends the invoice for registration.
- IRN stored: IRN, acknowledgement number and date are saved on the invoice.
- QR on the invoice: The signed QR code is printed on the invoice copy.
- E-way bill next: An e-way bill can be generated for the dispatch.
IRN in GST: portal typing against system generation
Small volumes can be handled on the portal by hand. Once a business raises many invoices a day, copying each one invites typing errors, and an IRN issued on wrong details has to be cancelled and done again. Generating it from the invoice record removes the second typing.
Manual IRN, against Apragya
| Feature | Portal by hand | Apragya Finance |
|---|---|---|
| Invoice details | Typed again on the portal | Sent from the sales invoice |
| Validation | Errors found after submission | GSTIN, HSN and place of supply checked first |
| QR code | Downloaded and attached | Printed on the invoice |
| Cancellation | Tracked separately | Recorded on the invoice |
| GSTR-1 | Compared by hand | GSTR-1 prepared from the same invoices |
