What Is EPF? Employees' Provident Fund Meaning and Calculation Example
For HR and payroll teams, founders and employees: understand how EPF works, what is deducted and deposited each month, and how payroll handles it.
What is EPF? EPF, the Employees' Provident Fund, is a retirement savings scheme run by the Employees' Provident Fund Organisation (EPFO). Each month, the employee and the employer both contribute a share of the employee's wages, and the balance earns interest declared for each year.
Every employee in a covered establishment gets a Universal Account Number (UAN) that stays with them across jobs. The employer deducts the employee's share from salary and deposits both shares with a monthly return.
This page explains who is covered, how the contributions are split, a worked example, and how Apragya Payroll calculates EPF and builds the monthly file.
EPF meaning and calculation
The employee contributes 12% of PF wages, basic pay plus dearness allowance, to EPF. The employer also contributes 12%, but splits it: 8.33% goes to the Employees' Pension Scheme (EPS), capped on a wage ceiling of INR 15,000 a month, and the rest goes to EPF. The employer also pays EDLI insurance and administration charges.
A worked example: an employee's basic plus DA is INR 20,000 and PF is paid on actual wages. The employee contributes 12%, or INR 2,400. The employer's 12% is also INR 2,400. The pension share is 8.33% of the INR 15,000 ceiling, or INR 1,250, so INR 1,150 goes to EPF. The member's EPF account receives INR 3,550 for the month.
Contributions are deposited through a monthly electronic challan cum return (ECR) on the EPFO portal, by the 15th of the following month. Rates, ceilings and due dates are set by EPFO; check the current rules.
- Work out PF wages: basic plus DA.
- Take 12% as the employee's share.
- Take 8.33% of wages up to the ceiling as the pension share.
- Put the rest of the employer's 12% into EPF.
- Add EDLI and administration charges and deposit by the due date.
What goes wrong with EPF
Late deposits
Late payment can attract interest and damages under EPFO rules.
Wrong wage base
Allowances left out of PF wages lead to disputes during an inspection.
Missing UANs
New joiners without a UAN cannot be included in the return.
Rejected returns
Errors in the monthly file stop the challan from being generated.
An example: a Hyderabad software services firm
Take an illustrative 60 person firm where most engineers earn above the wage ceiling and a few support staff earn below it. The firm pays PF on actual basic for some and on the ceiling for others, as each employee's letter says.
The payroll team's monthly EPF checks
- UAN for new joinersThree joiners linked before the run.Done
- PF wage basisActual basic or ceiling, per employee.Checked
- Pension share cappedCapped on the wage ceiling.Checked
- Loss of pay daysTaken from attendance for the month.Matched
- Monthly return fileBuilt from the payroll run.Ready
- Challan paymentPaid on the EPFO portal before the due date.Pending
Because PF wages, the pension share and loss of pay days all came from the same payroll run, the monthly file matched the payslips, and the challan was paid well before the due date. Employees saw their PF deduction on the payslip on their phones.
How EPF calculation works in Apragya Payroll
Step 1 of 5
Statutory settings
PF rates and the wage ceiling are set in payroll configuration.
- Statutory settings: PF rates and the wage ceiling are set in payroll configuration.
- Contributions worked out: Employee and employer shares are calculated on each payslip.
- Pension share capped: The pension share is capped and the balance goes to the provident fund.
- Attendance linked: Loss of pay days reduce PF wages and appear as non-contributory days.
- Monthly return: The ECR file is built from the run, ready to upload.
EPF contribution rules: why payroll should own them
EPF errors are rarely arithmetic. They come from the wage base, from missing UANs and from exits not recorded in time. When the payroll run, the employee record and attendance share one system, these gaps show up before the file is built.
