How to Create Additional Salary in an ERP: Incentives, Arrears and One-off Deductions That Land on the Right Payslip

For payroll officers and HR managers who handle incentives, bonuses and recoveries every month: capture each amount once, get it approved, and see it paid exactly once.

People who search for how to create additional salary usually have a list in hand: a sales incentive, a festival bonus, arrears from a late increment, a canteen recovery. None of these belong in the monthly salary structure, yet every one of them has to reach a payslip.

In many Indian companies these amounts travel by WhatsApp and land in an extra column of the payroll sheet the evening before the run. The column is copied into next month's sheet, and an incentive that was meant to be paid once is quietly paid twice.

This guide explains what an additional salary entry should hold, the steps to set one up in any ERP, an illustrative example from a Coimbatore textile mill, and how Apragya's payroll app handles it.

How to create additional salary, step by step

Additional salary is any amount paid or recovered in a month that is not part of the employee's regular structure. Typical examples are incentives, bonuses, arrears, reimbursements treated as income, and one-off recoveries such as an advance or a lost item.

Every entry needs five things: the employee, the salary component it belongs to, the amount, the pay month and an approval. The component matters most, because it decides whether the amount is an earning or a deduction, and how it is treated for PF, ESI and tax.

Keep entries separate from the salary structure, and never edit last month's payslip to add one. An entry that is applied should be marked as applied, so a rerun cannot pay it again.

  1. Create a salary component for each type of extra pay or recovery, with its tax and statutory settings.
  2. Record each amount as an entry against the employee, component and pay month.
  3. Mark amounts that repeat as recurring, with an end month.
  4. Send the entries for approval before the payroll cut-off.
  5. Preview the run, then apply approved entries to it.
  6. Check the payslips show each entry as its own line.

An example: a Coimbatore textile mill's festival month

Take an illustrative 260-person spinning mill paying a production incentive to shift supervisors, arrears to eight weavers whose increment was approved late, and a one-off recovery for a lost safety kit. All three had to reach October's payslips and nothing else.

  1. Entry drafted

  2. Submitted

  3. Approved

The plant head signs; the approver is recorded.

  4. Dry run

The run's impact is previewed before applying.

  5. On the payslip

A separate line the employee can read.

The dry run is where a wrong month or a wrong amount is caught, before salaries are final.

The dry run showed one supervisor's incentive entered under November by mistake. It was corrected, the batch was applied to October's run, and each payslip carried the incentive, arrears or recovery as its own line. In November nothing was repeated, because applied entries are skipped.

What loose one-off payments cost

Paid twice

An amount copied forward is paid again the next month.

No approver on record

Auditors ask who agreed to a bonus, and the answer is a chat.

Late rework

Amounts arriving on payday eve force the run to be recalculated.

Wrong head

An earning typed where a deduction belonged, or the reverse.

How Apragya handles an incentive payment in payroll

Step 1 of 5

Pick the type

Additional pay, arrears, retention bonus, incentive, other income or a deduction correction.

  1. Pick the type: Additional pay, arrears, retention bonus, incentive, other income or a deduction correction.
  2. Pick the component: The salary component decides whether the amount is an earning or a deduction.
  3. Set the month: One pay month, or recurring until an end month.
  4. Submit and approve: Draft, submitted, approved or rejected, with who acted and when.
  5. Apply to the run: Approved entries for that month join the payslips; a dry run shows the impact first.

One time payment in payroll: sheet column or ERP entry

A spreadsheet column can hold an amount. It cannot hold who approved it, whether it has already been paid, or which component it belongs to. An ERP entry carries all three, so a recalculated run does not pay the same bonus again.

Additional salary is covered in depth on the additional salary feature page, and it is paid through payroll runs. Runs are signed off in the payroll approval inbox.

Getting started

  1. List every one-off amount you paid last quarter and its head.
  2. Create a salary component for each head that is missing.
  3. Ask managers to enter next month's amounts as drafts.
  4. Approve them before the payroll cut-off.
  5. Dry run, then apply them to the run.

The first month usually turns up at least one amount that would otherwise have been paid twice.

Additional salary, answered

Can an entry repeat every month?
Yes. Mark it recurring with an end month and it applies to each run up to that month.
How are arrears created?
When a salary revision is backdated, the difference for past months is previewed and staged as draft arrears entries for approval.
Can we recover money the same way?
Yes. Use a deduction component, or the deduction correction type, and it lands under deductions.
Are these amounts taxed?
Tax follows the component's taxable setting and flows into the month's TDS working. Confirm the treatment with your tax adviser.
What does it cost to start?
Payroll is available from the Starter plan, INR 3,999 a month for up to 10 users, which includes CRM and HR plus a choice of enterprise apps and 2,000 AI Credits a month. Pro, at INR 7,999 a month, covers 25 users and every enterprise app.
