Migrate from SAP Business One to Apragya: Items, Warehouses, Production and Balances

For manufacturers and distributors on SAP Business One who want Indian compliance, production and finance on one cloud record without partner-led upgrades.

Companies that migrate from SAP Business One usually have a mature setup: warehouses, batches, production orders and a partner who knows the system. The push to move tends to come from the cost of add-ons for Indian compliance, server upkeep, or users who need access from the shop floor.

SAP Business One is SAP's ERP for small and mid-sized companies, implemented through partners. If your partner support is strong and the system fits, staying is a reasonable decision.

This guide covers what to export, an illustrative manufacturer's move and the checks at each step.

How to migrate from SAP Business One: the short answer

Take the item master, business partners (customers and vendors), chart of accounts, warehouses, bills of material and price lists. Then, as at the cut-over date: stock by warehouse and batch, open sales and purchase orders, open invoices and the trial balance.

Most Business One lists and reports can be exported to Excel, and your partner can pull larger sets. Check the vendor's current documentation or your partner agreement.

Move at a period start, close the earlier period in Business One, import, and run one period in both before switching.

  1. Fix the cut-over date and freeze master changes a week before.
  2. Export items, business partners, accounts, warehouses and bills of material.
  3. Export stock by warehouse and batch, open orders and open invoices.
  4. Export the trial balance as at the cut-over date.
  5. Import masters, then stock, open orders and balances.
  6. Match stock value, ageing and the trial balance.
  7. Run one period in parallel, then stop entry in Business One.

What a weak SAP Business One data migration costs

Stock in the wrong place

Quantities moved without warehouse or batch.

Broken bills of material

Components missing, so the first work order stalls.

Lost open orders

Customer orders left behind on cut-over day.

Unmatched balances

Trial balance posted without a check.

An example: a pump manufacturer in Rajkot

Take an illustrative manufacturer with 5,200 items, three warehouses, 240 bills of material and open orders from dealers. It moved at the start of a quarter.

Cut-over weekend, in order

  1. Items and partners

Imported the week before, then frozen.

  2. Bills of material

    Components and quantities checked.

  3. Stock by warehouse

Counted on Saturday, loaded by batch.

  4. Open orders

    Dealer orders with delivered quantities.

  5. Balances matched

    Trial balance and ageing agreed.

The Saturday count meant opening stock matched the racks, not just the old system.

On Monday the first work order drew components against the new stock without a shortage surprise. Dealer orders carried their delivered quantities, so partial shipments continued. The quarter's first GSTR-1 came from Apragya alone.

  5. Opening balances: Trial balance posted as a journal and matched.

SAP B1 to cloud ERP in India: what changes

The biggest change is ownership of upkeep. Apragya is a maintained cloud platform, so Indian rules and upgrades are handled in the product, and production, stock, sales, purchase and finance share one record. Check the vendor's current plans when you compare cost.

Getting started

  1. Agree the cut-over date with production and accounts.
  2. Import items and partners a week early.
  3. Check the top bills of material by hand.
  4. Count stock and import it on the weekend.
  5. Run a period in parallel.

A physical count at cut-over is the best defence against stock surprises later.
