Cloud Startup Lifecycle Software for Incubators: From Application to Graduation

For incubators, accelerators and innovation programmes at universities, trusts and corporates: run intake, evaluation, funding and reporting on one record per startup.

A founder adjusting a prototype while a programme manager watches

Cloud startup lifecycle software gives an incubation team one record for each startup, from the day it applies to the day it graduates. Most Indian incubators run this on forms, spreadsheets and email: applications in one sheet, evaluator scores in another, and grant tranches tracked by the finance officer alone.

When a funding agency asks how many startups moved up a technology readiness level, or why a tranche was held, the team spends days assembling the answer.

This page covers what that costs, an illustrative programme, and how Apragya's Incubation Management app handles each stage.

What a spreadsheet programme costs

Unfair evaluation

Evaluators see every application, and conflicts are never declared.

Money released too early

A tranche is paid while a utilisation certificate is still pending.

Reports built by hand

Every review cycle means chasing startups for the same figures.

Impact nobody can verify

Numbers are reported upward without a record of who checked them.

An example: a university incubator in Bhubaneswar

Take an illustrative incubator running a seed grant scheme for hardware startups, with a panel of six external evaluators and grants released in three tranches.

One startup's first year in the programme

  1. Month 1

Application received against the programme's call.
  2. Month 2

Scored by assigned evaluators; conflicts declared.
  3. Month 3

Selected and placed in the spring cohort.
  4. Month 4

First tranche verified, approved and paid.
  5. Month 9

Progress report shows the TRL moving up.
  6. Month 10

Second tranche held until filings are clear.
The compliance gate held the second tranche until the certificate was approved.

The startup's utilisation certificate was still under review when it asked for the second tranche. The gate held the release, the finance officer approved the certificate a week later, and the money moved with a clean record behind it.

Coins released on one side and a larger stack held behind a small gate
The second tranche waited behind the gate until the utilisation certificate was approved.

How incubation management software works in Apragya

Step 1 of 5

Programmes

Intake window, region, instruments, application form and scoring rubric.

  1. Programmes: Intake window, region, instruments, application form and scoring rubric.
  2. Applications and evaluation: Screening, assigned panels, conflicts, interviews and a recorded decision.
  3. Cohorts: Dates, review cadence and target size for each batch.
  4. Funding: Grants in tranches, loan schedules and equity history per startup.
  5. Progress and impact: TRL, traction, funds used and verified impact metrics.

Choosing accelerator programme management software

Generic CRMs can hold a list of startups. An incubator's real obligations are to its funders: fair selection, money released against conditions, and figures that can be traced back to a person who verified them.

What sets Apragya's cloud incubation management software apart

Compliance gate

The next tranche waits until milestones and filings are clear.

Guarded AI

An overdue-risk agent reads dates, statuses and amounts, never documents.

Human decisions

Selection, verification and release stay with named people.

Evaluator access

Each evaluator sees only the applications assigned to them.

Audit log

Who decided, approved or released what, and when.

Several schemes

One team runs many programmes without mixing them up.

Getting started

  1. Set up one live programme with its form and rubric.
  2. Import your current startups and their funding records.
  3. Assign the next round of applications to evaluators.
  4. Record the latest progress report for each startup.
  5. Export a portfolio report and compare it with your last one.

Starting with a programme already under way shows the team the value before the next call opens.

Cloud startup lifecycle software, answered

Does the AI read startups' documents?
No. The agents in this app read operational figures such as dates, statuses, amounts and TRL numbers. Document contents are not sent to a model, and the inputs used are stored on the record.
Can we run grants, loans and equity together?
Yes. Each funding instrument is its own record, with tranches, repayment schedules or an equity history.
Can evaluators be external?
Yes. Evaluators work in a panel workspace and see only the applications assigned to them.
Can we define our own impact metrics?
Yes. You define the metrics, startups record them by period, and staff verify them before they roll up.
Can startups submit their own reports?
Yes. Progress reports and financial submissions are recorded against the startup, and reminders go out when one is due. Reminder wording can be drafted by AI if you switch that on; who is chased and when is always decided by the schedule.
Can utilisation certificates be checked?
An agent reviews the claim's figures, such as money against sanction and this period against past filings, and a finance officer makes the decision.
What does it cost to start?
Incubation Management comes with the Pro plan, INR 7,999 a month for up to 25 users, which includes every enterprise app, 5,000 AI Credits a month, single sign-on and audit logs. The free plan covers up to 3 users with CRM, HR and Vendor Onboarding if you want to try the platform first.
