Fix Duplicate Vendor Payments: Catch the Second Bill Before the Money Leaves
For AP teams, finance controllers and owners: find the bills that were paid twice, get the money back, and stop the second payment before it leaves the bank.
To fix duplicate vendor payments, start with the supplier list, not the bills. When one supplier sits under two codes, every duplicate check that keys on the vendor fails silently, and the same bill can be paid twice without a single warning.
In Indian SMEs, supplier bills arrive by email, WhatsApp and courier. The same PDF gets forwarded by the buyer and the stores, and two people enter it on different days. Payment goes out twice, and the supplier rarely calls to return it.
This page gives the direct fix, an illustrative example from Rajkot, and how Apragya checks for duplicates before the payment run.
Why suppliers get paid twice, and the fix
A duplicate vendor payment happens when one supplier bill is paid more than once. It is rarely fraud. More often the same bill arrives by email and by courier and is entered twice, or its number is typed differently the second time, such as INV/0042 and INV-42.
Other causes: the same supplier exists under two vendor codes, so a check on vendor and bill number never fires; a bill is paid by hand and then again in the payment run; or an advance is paid and never adjusted against the final bill.
To fix it, look back for duplicates, recover what was overpaid, then close each door so the second payment cannot be made.
- Pull a year of paid bills and sort by supplier, amount and date.
- Flag pairs with the same amount within a few days, and bill numbers that differ only in format.
- Check the supplier list for the same GSTIN, PAN or bank account under two names.
- Confirm each duplicate with the supplier's statement of account.
- Recover by refund, or by adjusting against the supplier's next bill with a debit note.
- Merge duplicate suppliers and block payment of bills that match an existing one.
- Pay only through runs that pick unpaid balances, never by hand outside them.
What duplicate payments cost
Cash lost
Overpayments sit with suppliers and are often never recovered.
Wrong input credit
Tax credit may be claimed twice on the same bill.
Recovery effort
Months of statements and calls to get the money back.
Audit findings
Auditors flag weak payables controls.
An example: a Rajkot engineering unit
Take an illustrative unit making machine parts, paying around 400 supplier bills a month. A bill for castings arrived twice, once by email and once with the delivery. It was entered with a slightly different number.
What the check found on the second bill
Supplier bill, flagged
The same supplier as a bill paid last week.
Same number, typed two ways.
Identical to a bill paid last week.
Well inside the look-back window.
AP put it on hold, out of the payment run.
Confirmed as a duplicate by AP.
The second bill was held and cancelled. A supplier duplicate scan then found two suppliers with two vendor codes each, and a look back showed one older duplicate payment under each pair. The suppliers were merged, and the overpayments were adjusted against their next bills.
How Apragya handles duplicate invoice detection
Step 1 of 5
Bill number guard
A second bill with the same supplier and bill number is refused.
- Bill number guard: A second bill with the same supplier and bill number is refused.
- AI duplicate check: Same supplier, amount within a small band and date within a year are compared by an agent.
- Supplier deduplication: Suppliers sharing a tax id, bank account or similar name are flagged for merging.
- Holds on bills: A held bill cannot be paid until it is released.
- Payment runs: Runs pick only unpaid balances, so a paid bill drops out.
Stopping a duplicate payment to a supplier: two ways
Manual checks depend on someone remembering the last bill. Checks built into the bill and the supplier record work every time, including on the busiest day of the month.
Manual payables checks, against Apragya
| Feature | Manual checks | Apragya |
|---|---|---|
| Same bill twice | Noticed if someone remembers | Refused on supplier and bill number |
| Number typed differently | Missed | Flagged by the AI duplicate check |
| Two supplier codes | Never noticed | Flagged by tax id and bank account |
| Paid by hand and in a run | Possible | Runs pick unpaid balances only |
| Doubtful bill | Paid anyway | Held until released |

What keeps payables clean
One supplier record
Purchase, stores and accounts share one vendor master.
Bills read for you
Supplier PDFs are read and posted for review, not retyped.
Three-way match
Bill totals are compared with the order and goods receipt.
Email inbox intake
Bills from a mailbox are picked up once, not on every check.
Human review
Flags wait for a person to decide.
Audit log
Holds, releases and payments are recorded.

Getting started
- Run a supplier duplicate scan and merge the pairs.
- Look back a year for bills with the same amount.
- Ask the affected suppliers for statements.
- Pay only through payment runs from now on.
- Hold any bill the duplicate check flags.
Merging duplicate suppliers first makes every other check work.
