PF Challan Rejection Fix: Why the ECR Bounces and How to Clear It
For payroll executives and HR heads who upload the monthly EPF return: find the rows that caused the rejection, fix the source data, and send a clean file next month.
A PF challan rejection fix almost never lies in the portal itself. The rejection is the portal telling you that something in the ECR, the Electronic Challan cum Return file, does not agree with what EPFO holds for your members or with its own wage rules.
In most Indian SMEs the file is built in a spreadsheet from the salary register a day before the due date. One missing UAN, a spelling change in a name, or a wage column that exceeds gross wages is enough for the upload to fail, and the challan cannot be generated until the file is clean.
This page lists the usual causes, how to check each one, an illustrative example, and how Apragya builds the ECR from payroll so fewer rows go wrong.
Why PF challans get rejected, and how to fix each cause
Most rejections fall into five groups. First, member identity: a UAN that is missing, not linked to your establishment, or incomplete in KYC. Second, names that differ from the member record. Third, wage logic: EPF wages above gross wages, pension wages above the ceiling, or a pension share that does not agree with pension wages.
Fourth, member status: an employee who has exited, or one no longer eligible for pension, still carrying pension wages. Fifth, file format: decimals where whole rupees are expected, an extra header row, or the wrong separator. The portal message usually names the row and the field.
Fix the cause at the source, then rebuild the file. Rules on ceilings, eligibility and due dates are set by EPFO and can change, so check the current portal guidance before you upload.
- Match each flagged row to an employee.
- Check UAN, KYC and name against the member record.
- Check the wage columns against gross wages and the ceiling.
- Remove leavers and correct pension eligibility.
- Rebuild the file and upload again.
An example: a Tiruppur garment unit with 140 members
Take an illustrative knitwear unit whose ECR upload failed two days before the due date. The payroll executive had copied the salary sheet into the ECR format by hand, and six rows were flagged.
The six checks run before the second upload
- UAN on every rowTwo new joiners had no UAN entered yet.Missing
- Name as per EPFOOne name was spelt differently from the member record.Mismatch
- EPF wages against grossNo row had EPF wages above gross wages.Checked
- EPS wage ceilingTwo rows carried pension wages above the ceiling.Mismatch
- NCP daysUnpaid days agreed with attendance.Matched
- Exited membersOne employee who had left was still in the file.Pending
The executive fixed the master data first, not the file: UANs and names on the employee records, the wage split in the salary structure, and the exit date for the leaver. The regenerated file uploaded on the first attempt, and the challan was paid a day before the due date.
How Apragya builds a cleaner ECR
Step 1 of 5
UAN on the employee
The UAN is held on the employee record, and rows without one are left out of the file.
- UAN on the employee: The UAN is held on the employee record, and rows without one are left out of the file.
- Wages from payroll: EPF, EPS and EDLI wages come from the basic and DA on each payslip, capped at the statutory ceiling.
- Pension share capped: The pension contribution is capped, and the balance goes to the EPF difference column.
- NCP days from attendance: Loss of pay days on the payslip become the non-contributory days.
- Preview, then download: Check totals and rows on screen, then download the file for the EPFO portal.
What a rejected PF file costs
Late deposit
Every day spent fixing rows pushes the payment closer to the due date.
Interest and damages
Late remittance can attract interest and damages under EPFO rules.
Unhappy employees
Contributions missing from passbooks lead to questions and complaints.
Inspection risk
Repeated gaps in returns draw attention during an inspection.
Why an EPF ECR rejected once gets rejected again
Correcting a rejected file by hand fixes this month only. The same missing UAN or wrong wage split is still in the spreadsheet next month. Building the file from the payroll record means a correction made once stays made.
A hand-built ECR, against Apragya
| Feature | Spreadsheet ECR | Apragya payroll |
|---|---|---|
| Source of wages | Copied from the salary sheet | Read from the month's payslips |
| UAN | Typed into the file | Held on the employee record |
| Wage ceilings | Applied by formula, if remembered | Applied when the file is built |
| NCP days | Entered separately | Taken from loss of pay days |
| Next month | Same errors again | Corrections carried forward |

Getting started with a PF challan error
- Read the rejection message and note each flagged row.
- Fix the cause in the employee master or salary structure.
- Regenerate the ECR for the same pay period.
- Check the totals against the payroll register.
- Upload, generate the challan and pay it.
Once the master data is clean, most months need no corrections at all.
What else helps with PF compliance
One employee record
HR, attendance and payroll read the same master data.
AI checks on payroll
An agent can flag unusual payslips before the run is finalised.
ESI and PT too
ESI, professional tax and labour welfare fund are handled in the same run.
Access by role
Only people with the PF challan permission can generate the file.
Audit log
Who ran payroll and who downloaded the file is recorded.
Employee self service
Employees see payslips on the phone-friendly web app.
